Job Purpose
The Office Administrator is responsible for the smooth running of the administration office, ensuring accurate payroll processing, BIBC administration, wage calculations, employee records, and providing general administrative support to management. The successful candidate must have previous experience working within the Building Industry Bargaining Council (BIBC) environment and be familiar with weekly wages and compliance
 
Key Responsibilities
 
Payroll & Wages
    • Process weekly wages accurately and on time.
    • Capture employee hours from timesheets.
    • Calculate overtime, public holidays.
 
BIBC Administration
    • Previous experience working with the Building Industry Bargaining Council (BIBC).
    • Prepare and submit monthly BIBC returns.
    • Maintain BIBC benefit records.
    • Calculate BIBC contributions in line with current wage schedules.
    • Liaise with the BIBC regarding employee and employer queries.
    • Ensure company compliance with BIBC regulations and collective agreements.
 
Administration
    • Capture employee information.
    • Maintain personnel files, for the cape town branch.
    • Notify HR of new employees   
    • Assist with disciplinary documentation.
    • Monitor attendance registers.
 
Office Administration
    • Answer telephones and assist visitors.
    • Manage filing systems.
    • Order office stationery and consumables.
    • Maintain company records.
    • Prepare reports for management.
    • General office administration duties.
    • Assist with fleet and vehicle administration where required.
    • Review sub contractors claims and make sure figures are correct
 
Finance Administration
    • Capture supplier invoices.
    • Assist with purchase orders.
    • Reconcile petty cash.
    • Filing and document management.
 
Minimum Requirements
    • Grade 12 (Matric).
    • Payroll or Office Administration qualification (advantageous)
    • Minimum 3–5 years’ experience in an administrative role.
    • Minimum 2 years’ BIBC experience is essential.
    • Experience processing fortnightly wages.
    • Experience within the Glass & Aluminium, Construction or Building Industry preferred.
    • Valid driver’s licence (advantageous)
 
Knowledge & Skills
    • Excellent understanding of BIBC wage schedules and contributions.
    • Strong payroll administration skills.
    • Knowledge of South African labour legislation.
    • Strong Microsoft Excel skills.
    • Excellent organisational skills.
    • High level of accuracy and attention to detail.
    • Strong communication skills.
    • Ability to work under pressure and meet deadlines.  
    • Confidentiality and professionalism.
