JOB TITLE Customer Sales Executive – CAPE TOWN (TYGERBERG AREA)
REPORTS TO Director / Operations Manager
Job Purpose
The primary responsibility of the Customer Sales and Service Controller will be to provide support to clients, the Director and office support to the business team as per key performance areas in line with best practices and business processes.
Experience
- 2-3 years’ experience as an office administrator/customer service/clerk.
- Experience in a corporate company/environment working with strong personalities.
- Experience dealing with SARS, CIPC and other related registration offices advantageous.
Education
- Matric (compulsory). Secretarial Diploma/Certificate advantageous.
- Valid Driver’s Licence and own transport – for deliveries, collections, as required (travel will be reimbursed at standard rates).
Key Performance Area Application

Quotes & Proposals Draft quotes/estimates/proposals on PI for services for current clients as per requests.
Draft quotes /estimates/proposals on PI for businesses, tax and audit clients.
Support sales process, follow up on quotations and proposals.
Phone clients as per SOP and according to client contact plan and script, note feedback.
Prepare quotes before meeting. Send approved quote to, assist updating fees annually.
Update all activity in referrals sheet, note on dashboard, update info in PI and ProfSoft.
Schedule/participate in internal and client fact-finding, problem-solving sessions.

Client Onboarding/Offboarding
Onboarding and offboarding of clients as per SOP.
Create document filing system as per the requirements of the client.
Scanning of documents and maintaining an electronic filing system.
Coordinate and follow check list of documents to obtain and register new clients.
Maintain Practice Ignition, and ProfSoft system with client maintenance changes.

Marketing Support Client delivery, check quality, client follow up to ensure service satisfaction.
Schedule Facebook posts and blog posts as per social media calendar and SOP.
Draft client ready Mailchimp for approval.
Collation of information where required.
Follow marketing and social media SOP as per management instructions.

Customer Service Proactively assist team members in providing excellent customer service.
Process requests, handle complaints, provide product and service support activities.
Collation of information for the team where required.

Reporting Unfinished Asana tasks report (monthly on the 30th)
Tax process KPI reports (twice weekly).
Client satisfaction support and reporting (clients spoken to weekly)
Projects progress report (weekly updates recorded on Asana).
Keep track of leads, referrals and clients that signed up on Referrals sheet (daily).
Update Dashboard (daily).

Client Admin Support
Reception telephone and administration cover.
Assist answering telephone, direct messages, calls to clients in a courteous manner.
Prepare and respond timely to emails as per client request, respond to challenging clients.
Resolve or escalate client requests for assistance.
Coordinate calendars and schedules meetings/calls as requested.

Networking Attend networking events and strategic partners meetings when required.
Attend False Bay Network and BNI weekly networking meetings.

Ad Hoc Project Execution Support running projects – execute as per management instruction.
Research and data gathering (setup and admin prep) on management instructions.
Access control support for new staff onboarding/offboarding.

SALARY: R15 000,00 (negotiable on experience)
