CONTRACTS MANAGER  – Logistics (Durban)
 
Our client (well established break bulk hauliers) is looking for a dynamic, well experienced Contracts Manager to join their team.
 
Responsibilities
 
  • Planning in conjunction with the operations team to ensure that the deliverables of the contracts and all projects/tasks provide all details necessary for the team to deliver without delays.
  • Ensure procurement and reconciliation of materials is carried out in accordance with Company procedures to best value and to prevent delays.
  • Ensure the operations team complies with all contract terms, including the Company’s commercial policies and procedures.
  • Attend all requisite meetings and provide feedback and best business practice of execution.
  • Produce, discuss and analyse progress reports, updated costs and forecasts.
  • Implement the risk management process, review risk register and check risk controls.
  • Ensure weekly review of progress, budget resources and forward planning are carried out.
  • Attend internal and external meetings and ensure the production of accurate records of any discussions and actions and circulate and discuss all minutes.
  • Ensure timely management of all tasks and ensure completion.
  • Measure performance of the contract by the successful completion of each order, in light of on time delivery, driving hours, rest periods, driving behaviour.
  • Conduct Performance Reviews and evaluate contractual performance on a regular basis.
  • Coach and provide feedback on possible areas that can be developed or rectified.
  • Correct performance when required and discuss problem areas and discuss possible actions that can be undertaken.
  • Ensure effective record keeping by maintaining files for each driver’s performance and routes.
  • Ensure optimal staff structure at all times in terms of recruitment, succession, development, and employment equity targets.
  • Ensure proper development of staff in view of compliance training needs and succession purposes.
 
HSSEQ
  • Manage housekeeping, safety and quality by ensuring that all housekeeping audits are conducted regularly, and that corrective action is taken if required.
  • Oversee and ensure that HSE-related documents are kept up to date and undertake site inspections, ensuring that audits and reports are produced, liaising with the necessary parties.  Customer relations: Build and maintain relationships with both the client and external customers Chair and lead meetings with the customer and report on progress to date
  • Ensure that works are carried out in a manner which minimises community impact.
  • Adherence to all deadlines set and objectives.
  • Mitigate risks against people & physical assets and ensure consistent application of the risk management policy across the contract.
  • Implementing, reinforcing and manage SHEQ initiatives and controls.

  • Operational Management
  • Develop and maintain procedures which relate to day-to-day operational requirements.
  •  
  • Vehicle downtime is monitored, controlled, and kept to a minimum.
  • Monitor fleet constantly to ensure Vehicle, driver and product security, Optimal usage of fuel, and No unnecessary route deviation.
  • Ensure adherence to procedures pertaining to:
  • Loading and offloading procedures (as per client requirements)
  • Safety and security standards
  • Optimal allocations of vehicles and staff
  • Timeous vehicle inspection
  •  
  • Identify, implement, and maintain site/ depot specific requirements as per legislation, policy and customer requirements.
  • Manage and control vehicle hire and maintenance.
  • Monitor and Manage costs
  • Undertake accurate and timeous forecasting.
  • Report weekly on projects contract revenue, and kilometres
  • Monitor and reconcile daily kilometres travelled and fuel
  • usage.
  • Rectify problematic vehicle or drivers.
  • Report on performance of the contact on a weekly/monthly basis
  • Manage and control all assets that are acquired and disposed of according to the relevant procedure and ensure accurate recording.
  • Manage day to day relationship with client and attend regular client liaison meetings.
  • Ensuring operations administration is processed accurately and timeously.
  • Ensure that planning is conducted daily to ensure that vehicle availability correspond with the system allocation and the allocated orders.
