Our client in Durban is looking for a sharp, well-experienced Quality and Procurement Administrator to coordinate the administration system and general workflows and provide technical support.
 
Responsibilities
  • Coordinate/manage to set administration, logistics and ISO requirements for the company administrative organisation for set staff.
  • Inspect, maintain, and manage warehouse equipment and vehicles.
  • Overseeing the assembly line as per the company’s standards. Personal handling of stock is strictly prohibited.
  • Overseeing basic operations, such as fitments, operational equipment, procurement, technical support and ISO `Safeguards company operations by complying with
  • extensive security procedures, protocols and security personnel
  • Adhere to all warehousing, handling, and shipping legislation laws and requirements.
  • Initiate, coordinate, and enforce optimal operational policies and procedures.
  • Maintain standards of health and safety, hygiene, and security
  • To assist in month end stock for reconciliation.
  • Liaise with suppliers, and transport companies.
  • Assist with COF set out employee and/or contractors probationary review meetings
 
Procurement
  • Identify the most appropriate supplier for the various designated products, determine availability, perform comparative pricing, negotiate pricing, confirm the quality of
  • products, and establish delivery requirements and timelines.
  • Ensure minimum raw material and component stock levels are always maintained for manufacturing.
  • Procurement tracker to be issued to Finance by the 28th of every month.
  • To ensure that no less than one month’s supply of raw materials, consumables and/or components are in at any given time.
  • Purchase order requisitions for the new month requirements to be generated and presented to suppliers between the 25th and 31st of every month.
  • Review the success of logistical functions and identify areas for improvement.
  • Always ensure the company dealing with reputable suppliers who meets the company’s requirements and conform to required standards.
  • Ensure pricing is acceptable to the company.
 
Assembly Packaging
  • Overseeing the development of the monthly production schedules for the assembly. department based on current stock holdings and supply demand.
  • Rectifying any issues raised by assembly staff.
  • Ensuring weekly and monthly reports are signed off and sent to the General manager every Friday and last working day of the month.
  • Ensure assembly department are working in accordance with the companies ISO work instructions and procedures.
  • Ensure assembly and packaging’s month minimum manufacturing requirements of 10,000 units is maintained, unless otherwise instructed in writing by senior
  • management.
  • Ensure assembly manager is competent and following all ISO policies, processes, and procedures.
 
ISO9001
  • Support and assist the quality management system in line with the required industry standards, including ISO9001:2015
  • Schedule and oversee internal and external audits.
  • Ensure the company’s ongoing compliance with ISO900 15.
  • Ensure deadlines are always met to close the NCRs and sure each department carries out its responsibilities in terms of ISO requirements and meets deadlines.
 
Fitments
  • To ensure the upload of the manifest and order are processed timeously.
  • Ensure manifest order is sent for invoicing within 24 hours of receipt.
  • Contact the customer if any job cards are missing and/or non- compliant, and ensure compliance is achieved with immediate corrective action.
  • Ensure the fitment tracker is updated weekly and sent to the General manager every Friday afternoon.
  • Reconciliations of fitment and consignment stock trackers are to be completed once fitment has been completed, and reports issued to General Manager fortnightly.
  • To ensure fitments reports are submitted within 24 hours of fitments being complete for invoicing purposes.
  • Once fitment is completed by the Veridot fitment team, to ensure fitment reports are reconciled with empty containers and job cards and saved on the shared data
  • within 24 hours of the used canister and job card being returned to Holomatrix.
  • Ensure all fitters are trained, compliant and equipped with all required PPE, and their documentation is always in order and available.
  • Ensure Fitters follow health and safety rules and regulations.
  • Manage the fitment team to always meet customer expectations in the most cost- effective way.
  • Capture daily Haval Fitment onto Haval fitment tracker.
  • Monthly, ensure VDS fitment are reconciled with Veridot DMS and submitted to Finance by no later than the 28th for payment.
  • Ensure consignment stock balances to pastel for those who have consignment by the 28th of every month.
  • To ensure the upload of the manifest and production schedule on behalf of OEM client
  • Email the OEM client confirmation that the vin numbers have been uploaded.
  • Assist OEM client when requesting for Veridot fitment Certificates, that is within 6 months for the date of fitment.
  • Update Veridot certificate register, which OEM Veridot fitment certificates have been issued.
  • To ensure the upload of Motor finity production schedules/manifest, and email OEM client confirmation, for the OEM to confirm their pin numbers.
 
General Administration duties
  • Ensure that all company vehicles are adequately maintained, serviced, licensed, insured, and cleaned.
  • Coordinating and participating in the investigation of accidents and near misses as they relate to vehicles.
  • Investigate vehicle accidents and ensure that all documentation is update. This will be done in conjunction with the warehouse Manager and Human Resources
  • Ensure logbooks are submitted to Finance by the 28th of every month.
 
Requirements
  • Grade 12
  • Relevant tertiary education on Production, Operations or Logistics will be an added advantage.
  • Minimum 3 years’ experience working with ISO 9001:2.15, in a similar role within a manufacturing environment.
  • Computer literate in MS Suite, PowerPoint, Excell, Outlook
  • Internal Auditor Certification
  • Valid Driver’s licence and your own reliable transport will be an added advantage.
  • Ability to work independently, within team, multitask and under pressure.
  • Time management skills and be able to meet deadlines.
  • Good written and verbal Communication Skills
Must be always presentable while representing the Organisation.
